    Initial review

    Understand your current position before making any decisions.

    • Review your lease, especially the management provisions and obligations.
    • Find the managing agent’s contract: notice periods and termination terms.
    • Look at recent service charge accounts and any major works history.
    • Talk to other leaseholders and find two or three willing directors.

    Open a shared folder in the platform and keep every conversation and document in it from day one.

  2. 02

    Structure decision

    Confirm your legal vehicle: an existing RMC, or an RTM company if none exists.

    • Check your lease and the title register for a Resident Management Company.
    • Only where no suitable RMC exists, consider forming an RTM company.
    • Appoint the agreed resident directors correctly through Companies House.

  3. 03

    Legal and formal steps

    Serve the right notices, in the right form, on time.

    • Issue the statutory notices, including the claim notice for an RTM claim.
    • Use a solicitor with specialist leasehold experience for the formal process.
    • Check consultation duties, such as Section 20, where major works or long agreements apply.

  4. 04

    Transition planning

    Plan a handover that residents do not notice.

    • Request handover records, contracts, certificates and accounts from the outgoing agent.
    • Review every contract and supplier, noting renewal dates and notice periods.
    • Plan service continuity, so there is no gap in cover.

  5. 05

    Financial setup

    Be ready to collect, hold and account for the money.

    • Open a dedicated bank account in the company’s name.
    • Consider a reserve fund account for planned and major works.
    • Set a first-year budget from actual costs and a clear demand schedule.
    • Plan for year-end accounts to be prepared and certified.

  6. 06

    Go live

    Take control, tell residents and launch the platform.

    • Confirm the effective date in writing with all parties.
    • Send a clear, friendly notice to every resident.
